8 Fall 2024 • sai-national.org p2p people-to-people P eople-to-People projects provide material assistance and encouragement to schools, music organizations, and musicians in many parts of the world where small things can make a big difference. The People-to-People project has begun preparations to take our ongoing Natural Disaster Relief project to our Fraternity's home in Asheville, NC, as well as other communities and states affected by both Hurricane Helene and Hurricane Milton. The project has a long history of assisting communities that have been affected by natural disasters, and we will be using the same procedures that we currently have in place. The People-to-People committee has designed many tools to help our members participate in the project, including many Google forms, a Google Slides presentation, and a project roadmap graphic to keep you on track. The main forms include: • Affected Members Form: This form is for all SAI members who have lost music materials or instruments from a natural disaster. This, and the rest of the listed forms, have an area for you to enter your SAI information such as chapter, province, and region, so that People-to-People and National Headquarters' records are easily updated with requests and participation in the project. • Request Form: This form is for non- SAI individuals, businesses, or organizations that have lost music materials or instruments due to a natural disaster. The individuals can fill out the form for themselves, or SAI members and chapters in the area can on their behalf. • Physical Donation Form: This form is for all SAI members and non-SAI individuals, businesses, or organizations to donate physical items to areas affected by natural disasters. We also have a section in this form highlighting how to send monetary donations through the national website. • Shipping Form: This form is for SAI members and chapters who have volunteered to ship donations from their area to the project. Our preferred points of contact for both shipping and receiving are through SAI members and chapters because they are familiar with the communications of SAI and it keeps things running smoothly. Once an item is shipped, the member fills out this form. A copy of the form will be emailed to People-to-People Natural Disaster Google Form Roadmap Dona on Receipt Form This form is for donors to receive tax credit for their donation. This is only handled by the Project Director. Chapters do not issue tax related documents. Once the donation is marked delivered through the Receiving/Delivery form, the Director will send the form directly to the donor. Receiving/Delivery Forms This form is for members volunteering to receive and deliver donations to their new home. They will be sent a copy of the shipping form to track donations. Once they are received, they should inform the Project Director and when the items are delivered the form should be filled out. Public Forms These forms are for SAi members to share across social media, in their community, and submit their own needs. • Affected Members Form: This form is for SAi members who have lost musical items in the disaster. • Dona on Form:This form is where SAI and non SAi members list items they would like to donate to the affected areas. • Request Form:This form is for community schools and businesses to request specific items that were destroyed. Shipping Forms This form is for members volunteering to ship donations for their chapter and in their area If People-to-People receives information on a donation where the donor cannot ship the item themselves, the Director will contact the volunteer nearby. • Reimbursement:SAI Philanthropies, Inc. does reimburse shipping. In the form there will be a place for the volunteers to upload their receipt for reimbursement. If reimbursement for shipping expenses is required, the form also has a section to upload a receipt. The Project Director will then send the receipt to National Headquarters for reimbursement. • Receiving/ Delivery Form: Similar to our shipping form, this form is for SAI members and chapters who are volunteering to receive donations to their home, school, work, or any other destination and deliver the donations. Once the item is received and delivered, the form should be filled out so that the Project Director can update project records and National Headquarters. • Donation Receipt Form: Once the Project Director receives the submission on the Receiving/Delivery form above, they will then reach out to the donor via email to send them a copy of our Donation Receipt form for their tax records. This step is done solely by the Project Director and National Headquarters.
